HubSpot Update 1: improve Prospecting with the new 'Leads' feature

HubSpot has introduced a 'Leads' object in Sales Hub to enhance prospecting and lead qualification, catering to both Inbound and Outbound strategies. This feature helps sales reps manage leads more efficiently, improving workflows, customer relationships, and sales pipeline development.

You can access the prospecting workspace by navigating to 'Sales' > 'Prospecting' in the top menu, then selecting the 'Leads' tab. Leads, a new sales object in HubSpot, differ from contacts, companies, or lifecycle stages and are similar to deals. They link to contacts or companies, signifying potential sales opportunities and aiding sellers in managing and qualifying prospects effectively. It's important to note that leads don't replace contacts, companies, or lifecycle stages. To start using leads, navigate to 'Leads' in the settings and click the 'Start using leads' button. Leads can be auto-generated from contacts and companies based on lifecycle stages, but there's also the flexibility to create them manually or through separate workflows.

Clicking a lead reveals its progression in the pre-sales/qualification pipeline via a tracker. Default lead stages include: New, Attempted, Connected, and Qualified or Disqualified:

  • Attempted: Triggered when a rep contacts the lead via email, phone, or other means.
  • Connected: Activated when the lead responds to outreach.
  • Qualified: Set the stage to 'qualified' for a conversion panel to appear, aiding in transitioning the lead to a pipeline.
  • Disqualified: Set the stage to 'disqualified' to display a reason for disqualification.

HubSpot also added reporting functionality for this object. These reports provide insights into sales rep efficiency with leads and offer a comprehensive view of lead conversion and pipeline performance.

Good to know: the prospecting workspace is included for Sales Hub Professional and above hubs with an assigned Sales Seat.

HubSpot Update 2: Generating Reports with AI

HubSpot has introduced AI-assisted reporting to streamline the process of generating customized reports that efficiently answer business queries. Rather than manually assembling reports, you can begin by choosing 'Generate with HubSpot AI' after clicking 'Create Report' in the Dashboard or Report Library. The AI creates reports according to your prompts, and these can be further customized or refined with additional inputs such as specific time frames or visualization preferences.

Custom funnel reports now feature the option to designate certain stages as optional, enabling the bypass of intermediate stages while still being included in the overall count. Furthermore, for those focused on account-based marketing, these custom funnel reports now also include company lifecycle stages. This allows for the labeling of an intermediate stage as 'optional', permitting contacts to advance through stages without affecting the accuracy of conversion rates leading to the final stage. Moreover, the ability to generate funnel reports based on company lifecycle stages has been introduced, proving advantageous for account-based marketing assessments.

You can now use the AI Content Assistant within Ads to create ad copy for engagement, website visits, and lead generation ads using straightforward prompts. To access this function, navigate to 'Marketing' > 'Ads' and select 'Create' > 'Ad campaign'.

The AI Assistant for creating sales emails is now available through the mobile app for users on both Android and iOS devices. With this update, streamlining email management on mobile has become easier than ever. Users on both platforms can improve their communication efficiency while on the go, leveraging AI to effortlessly and swiftly compose emails during prospecting or sales activities.

HubSpot has improved the AI sales email summary feature to swiftly extract context from lengthy email threads. The updated AI Assistant allows sales reps to efficiently summarize email conversations and take advantage of new features, including regenerating summaries, deleting saved ones, and copying text. This boosts productivity, empowering representatives to promptly manage emails through the HubSpot mobile app.

HubSpot Update 8: AI Assistant Call Summaries

You now have the ability to create a brief summary of your transcribed calls. To use this feature, make sure you have enabled options such as call recording, transcription and analysis, and AI assistants (currently in beta). To produce a summary, navigate to the main 'Call Records' page, choose a call that already has a transcript under the 'Recorded Calls' tab, and then click on the 'Generate call summary' button. Additionally, there is an option to regenerate the summary if necessary.

HubSpot Update 9: Summarize a Record in HubSpot

In HubSpot, you can now view CRM record summaries for companies, contacts, deals, and tickets, powered by ChatSpot AI. These summaries highlight key properties and provide an overview of associated notes, emails, calls, meetings, and tasks. To get started you navigate to a company, contact, deal or ticket record you want to summarize. Click on the Actions dropdown menu on the top left side of the record page and select 'Summarize in ChatSpot'.

HubSpot Update 10: Save and Reuse Groups of Workflow Actions with Action Sets

You can now save a group of workflow actions into an Action Set so that you and the rest of your team can reuse these actions. Action Sets is available for all Enterprise portals with Workflows access.

HubSpot Update 11: Custom Properties for Workflows

HubSpot's CRM offers customizable data storage for various entities like Contacts and Deals using custom properties, facilitating tailored organization and reporting. Following its availability in Campaigns and Lists, this feature is now also extended to Workflows.

Many lists and/or workflows are only needed for a short time (to do something for once or for a campaign that runs for a certain period of time). Nowadays, you can create custom properties for lists/workflows and add them to the creation-form. This allows you to let your colleagues indicate when this list/workflow can be removed. Create a date property "when can it be removed?" and add it (mandatory) to the create form. Next, create a custom view with this property = Last 365 days. This is where the lists/workflows that can be removed now appear. This is how you keep your lists clean!
